Project Coordinator
- Responsible for managing all other stages of projects once Project Administrator staffs a job and schedules an evaluation
- Credentials new contractors, gathers COI, W-9, enter into contractor map, etc.
- Gather evaluation information from contractors and franchisees in timely manner
- Submit evaluation information and line item estimates to clients based on the approved scope of work. Must be able to clearly and concisely communicate our proposed services and any issues that may require changes or additions/subtractions from the scope of work. Procure and coordinate delivery of accessibility and mobility products.
- Maintain and update all communications and documentation to company server and AIMS
- Proactively provide updates via phone and email on any/all project changes, timelines, expectations, unforeseen issues, etc.
- Follow up on sales pipeline and Open Quote projects
- For authorized projects, complete and/or retrieve all relevant documentation (Signoffs, Scope of Work, Landlord Acknowledgements, Contractor Agreements, Permits, Inspections, progress photos, completion photos, etc.)
- Communicate project timelines with client and manage contractor/franchisee to deliver or exceed created expectations.
- Responsible for all invoicing (only exception is rental products) and closing out of projects
- Coordinates rental product removals and communicates removal to client and NDA Accounting
Project Administrator
- Responsible for responding to all new client referrals
- Enter new referrals and patient demos into AIMS, set up project folders on server and all other preliminary data gathering and entry
- Review, evaluate, consult and confirm all information pertaining to scope of work and patient demos. Request and obtain missing information for incomplete files.
- Responsible for staffing new projects using existing contractor/franchise network and credentialing and developing new resources
- Entering new resources into contractor map
- Updating all notes into AIMS and pushing project through Eval Info to Project Coordinator
- Work special assignments from Director of Workers’ Comp on geocentric areas where new resources are scarce or need additional development
- Communicates with clients on staffing jobs, scheduling evaluations and informing them which Project Coordinator will be handling the file moving forward
- Responsible for responding to clients on all new home mod referrals
- Enter new referrals and patient demos into AIMS and set up project folders on server
- Review, evaluate, consult and confirm all information pertaining to scope of work and patient demos. To include doctor Rx, OT reports, patient diagnosis, abilities, level of in-home care, family roles, etc. Request and obtain missing information for incomplete files.
- Conducting conference calls to acquire preliminary/additional information from client, adjusters, OTs, NCMs in order to collectively agree on a rough/initial scope of work.
- Drafting CAF (Contractor Assignment Form), outlining protocols, deliverables and behavior on evaluations
- Responsible for staffing new projects using existing contractor/franchise network and credentialing and developing new resources
- Communicates with clients on staffing jobs, scheduling evaluations and creating timelines and expectations
- Collaborate with contractors to discuss ideas, methodologies and plan to execute. Review and fully understand all details of contractor proposal, pricing and work to be performed.
- Creates detailed evaluation submissions, line item pricing, product specifications, CAD drawings of existing floor plan versus proposed changes to floorplan (when applicable), create expectation to start project upon authorization and timeline to complete job aka a complete home modification proposal

- Proactively provide progress photos, updates via phone and email on any/all project changes, timelines, expectations, unforeseen issues, etc.
- Follow up on sales pipeline and Open Quote projects
- For authorized projects, complete and/or retrieve all relevant documentation (Signoffs, Scope of Work, Landlord Acknowledgements, Contractor Agreements, Permits, Inspections, progress photos, completion photos, Letter of Satisfaction, Certificate of Occupancy, etc.)
- Communicate project timelines with client and manage contractor/franchisee to deliver or exceed created expectations.
- Responsible for all invoicing (only exception are rental products) and closing out of projects
